Lead Cluster Assignment Rules

Overview

Lead Cluster Assignment Rules let you control how incoming leads are automatically distributed to your sales team. Rules can be scoped by location, lead category, and source, so the right leads always land with the right people.

To access these settings, go to Settings > Leads & CRM > Lead Cluster Assignment Rules.

Automatic Settings

At the top of the page you will find three toggles that apply automatically across your dealership:

  • Auto-reassign unactioned leads — When a lead has had no SMS, phone entry, note, email, or status change logged by its owner within a set number of business hours, it is automatically reassigned to another team member using your assignment rules.
  • Phone Call Auto-Assign — Automatically assigns unassigned lead clusters to the salesperson detected in phone call transcriptions.
  • Phone Call Auto-Update Contact Name — Automatically updates contact names using AI-detected customer names from phone call transcriptions, when the current name is a placeholder.

Creating a New Assignment Rule

To add a rule, click New in the top right corner. A panel will appear with the following fields:

  • Locations — Filter which dealership locations this rule applies to. Defaults to All.
  • Categories — Filter by lead category (e.g. New Car, Used Car, Service). Defaults to All.
  • Excluded Categories — Optionally exclude specific categories from this rule.
  • Sources — Filter by where the lead came from (e.g. website, Autotrader, walk-in). Defaults to All.
  • Users — Select which team members leads matching this rule will be assigned to.

Once you have configured the fields, click Create to save the rule.

How Rules Are Applied

When a new lead comes in, Dealer Studio checks your assignment rules in order and assigns the lead to a matching user. Rules are matched against the lead's location, category, and source. If a lead matches multiple rules, the first matching rule takes priority.
