How to Mark sales contracts as manually signed

Overview

Dealer Studio now allows you to mark a contract as manually signed.

While we strongly encourage using eSign (as it’s faster, more convenient, and environmentally friendly), we understand that there are situations where a customer may prefer to sign a contract physically.

This feature has been introduced to support those rare exceptions.



When Should You Use This?

Use Mark as Manually Signed only when:

  • The contract was physically signed (paper copy)

  • The customer could not complete the eSign process

  • There were technical or practical limitations preventing eSignature

In most cases, contracts should still be sent for eSign first.


How the Process Works

The eSign workflow remains unchanged.

  1. Send the contract for eSignature as normal.

  2. If the contract is instead signed manually, follow the steps below to mark it accordingly.


Step-by-Step Instructions

1. Send the Contract for eSign (Standard Process)

Send the contract for eSignature as you normally would.
The system will show the contract status as Sent for Signing.


2. Go to View Contracts / View Documents

Navigate to the View Contracts / View Documents screen.

You will see the contract listed with its current status.


3. Select “Mark as Manually Signed”

On the right-hand side of the contract row, you will now see a new option:

Mark as Manually Signed

Click this option.


4. Enter the Manual Signing Date & Time

You will be prompted to enter:

  • The date

  • The time the contract was manually signed

For example:

  • Signed yesterday at 9:00 AM

Enter the correct date and time, then click Confirm.


5. Confirmation

Once confirmed:

  • The contract status will update

  • It will clearly display as Manually Signed

  • The signing date and time will be recorded in the system


Important Notes

  • This feature is designed for exception handling, not as a replacement for eSign.

  • Always attempt to use eSignature first.

  • Ensure the manual signing date/time entered is accurate for compliance and record-keeping purposes.
